CreativeGround Coordinator

About the Position:

The coordinator for CreativeGround will maintain and promote usage of NEFA’s free, New England-wide online directory, which quantifies and spotlights the region’s robust creative community and enables users to find and connect with the region’s cultural nonprofits, creative businesses, and artists of all disciplines. It is a critical tool for NEFA’s service and learning from artists and creative enterprises in New England, and further facilitates connection with New England’s State Arts Agencies. The CreativeGround Coordinator is responsible for sustaining and enhancing the functionality of the website; providing remote and in-person technical assistance to users; and engaging with constituents across New England via workshops, trainings, and networking opportunities. This position requires excellent communication and technical skills, experience with websites and databases, and a passion for building community with New England’s artists and creative enterprises. The CreativeGround Coordinator reports to the Program Director for Research and Creative Economy and works in partnership with NEFA’s New England Programs team to advance the organization’s outreach and extend grant program impact in the region. The Coordinator will also work closely with NEFA’s Communications and IT staff to support and enhance brand and systems coherence across the organization.


Essential Functions

Website Tech and Data

·         Perform site administrator tasks - process user accounts and approve profile updates to maintain site data quality;

·         Ensure data integrity by creating systems to review and clean new and previous data, such as duplicate, out of business, or inappropriate profiles;

·         Monitor technical issues and gather user feedback;

·         Develop and implement plans to resolve outstanding items on the master list of site-related projects; suggest new functionality; and coordinate site maintenance and enhancements with outside developer;

·         Update non-user-generated site content and fix minor site issues;

·         Track site usage and analyze trends, make recommendations based on data.



Site Promotion and User Support

·         Respond to phone and email inquiries from constituents, provide technical assistance, information, and other support to site users, project partners, NEFA staff, and other constituents;

·         Coordinate the integration of CreativeGround across all applicable NEFA programs;

·         Implement and update the communications plan for CreativeGround, identifying targets and appropriate strategies to reach them;

·         Identify, attend, and facilitate events on behalf of CreativeGround such as workshops, conferences, meetings, and site demonstrations throughout New England;

·         Cultivate relationships to develop or improve markets for and usage of CreativeGround across New England communities;

·         Create and distribute marketing materials including audience-specific handouts, e-blasts and e-newsletters, blogs, sponsorship ads, and social networking posts;

·         Schedule and post training webinars and online materials;

·         Capture CreativeGround featured profiles, user stories and testimonials to post on the site and share with staff, funders, and the field.


Program Coordination

·         Assist in drafting agendas and correspondence for program staff and other advisory group meetings;

·         Coordinate logistics including scheduling, locating/securing meeting location, catering, tracking participant attendance, and technical needs for CreativeGround workshops, and other events;

·         Support Program Director in meetings through note taking, summarizing discussions and identifying next action steps;

·         Coordinate with communications staff to cross-promote NEFA and CreativeGround and keep materials and website references up to date;

·         Update appropriate mailing lists in Salesforce;

·         Implement and document updates to the CreativeGround project work plan;

·         Share CreativeGround statistics with NEFA staff and program partners;

·         Meet regularly with Program Director and participate in CreativeGround planning and evaluation discussions;

·         Use organization-wide systems such as Salesforce for contacts and event management.



Maintain and support positive relationships with a variety of external constituents such as prospective and current site users, event participants, program partners, community partners, and site developer as well as with internal NEFA staff.

Decision Making/Problem Solving:

Provide superior customer service to NEFA’s external constituents, apply established guidelines to track, resolve, and communicate site technical and data issues; implement communications and site improvement plans; consult with Program Director and other program staff on exceptions.

Required Experience/Skills: 

·         1-3 years of related work experience

·         Strong organizational and planning skills with the ability to anticipate, initiate, and advance multiple priorities and projects concurrently; demonstrated success in coordinating multiple team members and projects

·         Outstanding communication skills - verbal, written, and interpersonal; strong editorial skills with impeccable attention to detail

·         Facility with web-based platform administration; experience with data cleaning and database maintenance

·         Proficiency in Microsoft Office; Familiarity with Drupal, Constant Contact, InDesign, Google Analytics, and social media

·         Experience in marketing or promoting products or services

·         Customer service experience and willingness to learn, be patient with users, be flexible, and problem solve; experience with providing technical support or training; teaching; or workshop facilitation a plus

·         Ability to initiate projects, work independently, and set and meet deadlines

·         Ability to travel around New England


·         Comfort with public speaking

·         Experience in meeting and event planning

·         Background in marketing/design and/or creative economy research or initiatives
