Position Overview
The Institutional Relations and Grants Manager implements the Queens Museum’s institutional giving strategy by cultivating and stewarding new and existing relationships with private foundations, corporations, and governmental grantmaking agencies.
This role is responsible for overseeing a $2 million portfolio of 50 institutional funders and a prospect pipeline. Key responsibilities include business development and relationship management, proposal writing, as well as rigorous tracking of correspondence, and cultivation and events.
Reporting to the Director of Development, the Institutional Relations and Grants Manager will work toward increasing donor engagement and funding through both increased gifts and the acquisition of new donors. As we advance our work for the Children’s Museum, there will be a need to research and engage new funders for increased education, programming, community engagement, and capacity-building needs.
Essential Functions
Based on the Museum’s fundraising priorities and programming initiatives, lead in the coordination of outreach to institutional funders, and research opportunities set forth by institutional partners
In collaboration with museum colleagues, lead in writing all funding grants, proposals, reports, and other correspondence to foundations, corporate philanthropies, and government agencies
Oversee the grant writing and reporting calendar, and coordinate the editing and review process for all proposals
Develop fresh language on grant materials and write copy for fundraising campaigns and promotional materials
Research funding prospects and provide senior staff with research and background materials to support fundraising efforts
Maintain all grant-related records in the donor database, including constituent records, gift and proposal entries, submission deadlines, and crediting information
Compile and update statistics and information relating to programs for reporting
Keep updated files of fundraising materials including current budgets, IRS letters, audited financial statements, presentations, and information packets
Cultivate and steward new and existing institutional donors, including attending and sharing invitations to special events and programs
Thorough database management including updating and maintenance of donor records and gift tracking

Qualifications
Track record of building capacity for arts, culture, and or educational organizations through grant writing and relationship building
Ability to think creatively, synthesize information effectively, and tailor information to appeal to a broad spectrum of funder interests.
Proven ability to work independently and collaboratively on multiple projects and meet time-sensitive deadlines
Prior experience working with database management systems and customer relationship management platforms (e.g. Salesforce/Veevart)
Requirements
3+ years of grant writing experience in the development department of a non-profit organization (arts, culture & education experience is preferred)
Educational background in Art History, Arts Administration, Museum Studies, or related field, and/or its work experience equivalent
Accomplished writing, editing, and proofreading skills
Excellent verbal, and interpersonal, and communications skills
Proficient with donor database systems (Salesforce preferred), Microsoft Office, Google Workspace, and Adobe Acrobat
Availability to work onsite at the Queens Museum

Hybrid Work Model
The QM team is currently practicing a hybrid work model, incorporating a blend of onsite and
remote working. QM department heads require attendance onsite at the Museum 3 days per week to participate in in-person meetings and project work.
