OPEN POSITION: ADMINISTRATIVE ASSISTANT
(FULL-TIME, PERMANENT)

Founded by Jasper Johns and John Cage in 1963, the Foundation for Contemporary Arts (FCA) mission is to encourage, sponsor, and promote innovative work in the arts created and presented by individuals, groups, and organizations. Through a nomination process, individual artists and collective groups working in dance, music/sound, performance art/theater, poetry, and the visual arts are awarded unrestricted grants for projects of their own choosing. A fund is also maintained to help artists with unexpected emergencies. Since FCA’s inception, over 5,100 grants to artists and arts organizations—totaling over $20 million—have provided opportunities for creative exploration and development. FCA is a non-profit 501(c)(3) charity and raises funds through the sale of artwork donated by visual artists for periodic benefit exhibitions and through financial contributions from individuals and foundations.

Job Description:
FCA is seeking a full-time Administrative Assistant, reporting jointly to FCA’s Executive Director and Collections and Operations Manager. FCA has a small staff; the Administrative Assistant will be asked to perform a wide variety of tasks in a fast-paced, high-standards environment. In addition to supporting the office’s clerical needs, the Administrative Assistant provides daily support to the Executive Director and Collections and Operations Manager.

This position will support the Collections and Operations Manager in maintaining FCA’s collection of donated artwork and assisting with biennial benefit exhibitions. Collections-related duties include keeping artwork inventory records updated, cataloguing incoming artwork, coordinating and packing all artwork for pick-up and shipping, and maintaining artwork packing supplies. Day-to activities will include database and inventory management, handling artwork, and collection-related research. Applicants should be comfortable handling artwork and transporting works within New York City.

Basic administrative duties include: maintaining office supplies, answering phones, replying to information request emails, opening mail, drafting correspondence, scanning documents, coordinating mailings, scheduling and preparing for meetings, managing office calendars, and processing employee expenses.

This position is in-person, Monday-Friday, 10am-6pm. During the biennial benefit exhibitions there will be occasional weekend and evening hours.

Qualifications:
• Prior experience includes working at an arts organization, museum, gallery, or artist’s studio
• BA/BFA in Art History, Studio Art, or related field
• Interest in and knowledge of contemporary visual art
• Comfort using Mac OS and proficiency in Microsoft Excel, Word is a requirement
• Knowledge Photoshop, InDesign, and ArtBase or other database system is a plus
